Terms & Conditions

 
Application Procedure :

 

Booking forms duly filled in and signed by authorized person with official seal and designation, including the choice of sponsorship with the booking amount should be forwarded to the 

Organising Secretary, IOACON 2009, Bhubaneswar

Office of the Orissa Orthopaedic Association

IMA House, Ranihat Medical Road, Cuttack 753007.

 

Payments :

 

All Payments are to be made by Demand Draft drawn in favour of “IOACON 2009” payable at Cuttack only. 50% of the amount of Sponsorship has to be paid at the time of booking and the rest of the amount has to be paid by 15th November 2009. An official receipt will be issued after clearance of the Draft.

 

Risk & Security :

 

General security be provided round the clock, but individual sponsor is required to take adequate measures in their own interest for their stalls and belongings. The organizers will not take responsibility for any loss or damage incurred during the conference. 

 

Insurance :

 

Sponsors are requested to get their stalls and exhibits insured in their own interest. 

 

General Terms :

 

1.   The Organizers reserves the right to modify the size or change the floor plan of location at any time or even cancel any sponsorship without assigning any reason 

       thereof. 

2.   Sponsorships will be allocated on first cum first serve basis after the draft for the booking amount encashed. 

3.   The Organizers reserve the right to cancel the booking in the event of sponsor failing to pay the dues by the stipulated time. 

4.   The Sponsors must occupy and arrange their respective space by the stipulated time given by the Organizers, failing which the organizers has the right to take action

      as they deem fit. 

5.   The sponsors must not cause any damage to the walls, panels and other areas inside the halls by use of paint, nails tapes or any other similar objects. In the case of 

      any such damage, the sponsor will have to indemnify the Organizers for the same. 

6.   The sponsors must keep their areas clean and allowed to litter any garbage in the common areas. They must use bins to collect the garbage and store it separately

      for disposal. 

7.   No projections outside the allotted area will be permitted. The Organizers will be at liberty to remove such encroachments or projections at cost to be borne by the 

      sponsor. 

8.   No separate storage facilities shall be provided. All sponsors are required to make their own arrangements towards the same. 

9.   Sponsorship NON TRANSFERABLE. 

10. The Organizers reserves the right to change the venue and date of the conference in unavoidable circumstances.

11. The Organizers shall in no way be responsible for any tax liability if the sponsors undertake any sale/booking transaction. 

12.  Microphone or promotional activities hindering disturbing other sponsors will not be permitted. 

13.  All sponsors will have to register names of their representatives with photographs after paying the registration fee as per schedule with the Organizing Committee

       one month before the start of the conference. They will be provided with photo ID badges which have to be worn during the conference hour. This is must for 

       Security purpose.

14. The number of representatives at the conference venue will be limited, depending on the extent and area of sponsorship, to be decided by the Organizing Committee. 

15.  Appointed Electrical Contractor will execute all electrical connections inside stalls and other areas only. The sponsors are required to intimate the organizers in writing

       on the additional points required by them at least 30 days in advance. Please note that all extra points/connections would be charged on pro-rata basis. 

16.  All Legal Disputes are subject to Bhubaneswar Jurisdiction. 

17.  All sponsors will be acknowledged in befitting manner in the Conference Souvenir. 

18.  Certificate of Participation will be given at the end of Conference.
